Sharing Files

  1. Q: How do I start sharing files with other users?
    A: The ENGINEERING.com File Manager behaves much like the Windows Explorer on your computer.

    The File Manager is made up of two sections. The first section (the left pane), is for navigating your folders. The right-hand pane, is where your files are listed in the folder you selected. To locate a file, use the left pane to navigate the folders to locate the desired file.

    To add or modify a folder, simply right-click on the folder name in the left-hand pane. A pop-up menu will appear listing menu options such as "add sub-folder" and "add document(s)". Just click on the operation you want to perform. NOTE: Not all users will have all functionality available to them. It is dependant on whether or not the workspace owner has given you permission to do so.
  2. Q: How do I download a file?
    A: Locate the file you wish to download in the File Manager. The furthest column to the right in the file listing is an icon to download the file. Clicking it will pop up a new window. Click the "Download" button in this window to download the file.
  3. Q: How do I add a folder?
    A: After right-clicking a folder in the left-hand tree and selecting "add sub-folder", a new screen will appear. Simply supply the name of the folder in the screen that follows:

     

    When you click "Update", the folder will appear beneath the folder you originally right-clicked (or specified in the "Parent Folder" drop-down list).
  4. Q: How do I add a file?
    A: After right-clicking a folder in the left-hand tree and selecting "add document(s)", a new screen will appear:

     

    Click the "Browse" Button to pick the file you wish to upload. If the file is a Winzip (.zip) file, you can alternately check the "Unzip File" checkbox (this will unzip the ZIP file's contents and recreate the file and folder structure contained within the ZIP file). You may check the "Overwrite File(s)" checkbox if you wish to overwrite any existing files that your new upload shares the same name with.

    When you're ready to upload your file, click "Update". You'll then be taken to the following screen where you can supply a description to your file, it's location to in the File Manager to be Uploaded to. When you are done here, click "Update". .


  5. Q: How do move or re-name a folder?
    A: You can edit a folder's settings by right-clicking the desired folder and selecting "edit folder settings". You can then rename the folder or move it beneath a different folder that you wish.


  6. Q: How do I delete a folder?
    A: Right-click on the folder in the folder tree you wish to delete. Select "delete folder". You'll then be taken to a confirmation screen. Click "Update" on that screen.
  7. Q: How do rename or move a file?
    A: To re-name a file, locate the file in the File Manager, to the left of your file is an Edit icon. Clicking it will take you to the edit screen for that file.

    Once you are on the "Edit Document" screen, you can rename the file, give it a new description, and (if you wish) move the file to a new location. Click "Update" when you're done.
  8. Q: How do I delete a file?
    A: To delete a file, locate the file in the File Manager, and click the corresponding Edit icon. Clicking it will take you to the edit screen for that file.

    Once you're on the "Edit Document" screen, click "Delete" to delete the file.
  9. Q: Nothing happens when I right-click a folder (I can't add/edit folders nor files). Why?
    A: The workspace owner hasn't granted you "Full Access" to the File Manager. Only the workspace owner and users granted "Full Access" can modify the folders and files in the File Manager. If you do not have "Full Access", you can only view or download files. To the right of the File Manager is a list of users current participating, and their access levels. If you wish to have Full Access, you'll need to contact the workspace owner (the user that is bolded with the word "(owner)" suffixed to his/her name). You can click on that user on the list to sent an email to him/her.


 Managing Users

  1. Q: How do I manage users?
    A: Only the workspace owner (the person who created the workspace) can manage the users participating in the workspace. The User Management section is located to the right of the File Manager. Other users (non-owners) will see a similar screen, but cannot invite users nor modify user permissions.   

    In parentheses, each user in the list will either be labelled as "owner", "invited", or "participating". The owner is the person who can add/delete users and modify their access level in the workspace. Participating users are people who have registered with ENGINEERING.com and can participate in the workspace immediately. Invited users are people who haven't yet registered with ENGINEERING.com. When they register, they will be able to access the workspace.

  2. Q: How do I invite a user?
    A: Assuming you're the workspace owner, simply supply the person's email address via the textbox located at the bottom of the user list. If you wish to grant them the ability to edit/add/delete files & folders, then check the checkbox to the right of the email address you entered. This will give them "Full Access". When you are done, click "Invite". An email will be automatically sent to that person with a URL link to access your workspace.

    If that email address belongs to a user already registered with ENGINEERING.com, that person can begin participating in your workspace immediately. Otherwise, he/she will need to first register with ENGINEERING.com before they can participate.
  3. Q: How do I remove a user?
    A: Assuming you're the workspace owner, click the red "X" to the right of that user. You will be prompted with a confirmation, where you can continue with deleting the user, or cancel.
  4. Q: How do I modify a user's permissions?
    A: To grant/revoke "Full Edit" Access for a user, check/uncheck the checkbox next to the user you wish to edit. Only the workspace owner can do this.
  5. Q: I'm the workspace owner. Why can I not delete myself or modify my permissions?
    A: As the workspace owner, you are granted full access to your workspace. This is so you can maintain control of your workspace at all times. This is also why you cannot delete yourself, as the workspace is directly tied to your user account.
  6. Q: Why can't I invite new users or edit/delete users in this workspace?
    A: You're logged in as a workspace participant. Only the workspace owner can do this. If you wish to have a user added or mofified, please contact the workspace owner.
